Job Summary/Scope
The Office Administrator will coordinate office activities and operations while providing clerical and administrative support to management.
Essential Duties and Responsibilities:
- Oversees the daily workflow of administrative staff, assigning responsibilities to ensure efficient administrative operations
- Directs office activities and functions to maintain efficiency and compliance with company policies
- Leads coordination and integration of efforts among operations and legal staff to produce smoother workflow and more cost-effective business processes
- Communicates and explains new directives, policies, or procedures to department managers; for major changes, meets with entire operations staff to explain changes, answer questions and maintain morale
- Maintains agreements needed for office functions, including but not limited to: insurance contracts, subscription contracts and outsourced employment contracts
- Assists senior management with special projects
- Assists clerical and support staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required
- Reviews, analyzes and evaluates business procedures
- Prepares agendas, makes travel arrangements and maintains calendars for senior management
- Maintains records, documentation, and files for senior management
- Projects a positive image of the firm to employees, clients, industry and community
- Performs other related duties as assigned
Education, Experience and Skills:
- Bachelor’s degree in a relevant field (Business Administration or any other related fields)
- At least 3 years of administrative supervisory experience; law firm experience is preferred
